Position Summary:
Responsible for all aspects of event planning and production at South Street Seaport; from signature and seasonal programs to revenue generating product introduction opportunities. Experience required in maximizing and executing events that cross multi-cultural festivals, large scale concert series, product introductions, family events and seasonal programs attended from 10 to 10,000. The role will touch on key issues that are critical to growing property attendance levels, and to connect visitors with our tenants. Strategy and imagination will be helpful in cultivating programs to re-connect a local New York audience to the district. Emphasis is on procuring quality events that promote the Seaport experience and cultivate the venue in support of retail and dining tenants.
Core Functions and/or Organization Functions:
Organize and coordinate smooth and efficient operations of seasonal and special events, concerts, festivals, exhibitions, promotions and product launches. We require high standards of excellence in event execution and in sharing strategic ideas for delivering high impact destination based marketing campaigns:
Marketing and Event Management
'Oversee the execution of all events; ensure standards of excellence are adhered to for this historic landmark property.
'Identify and procure new events, product introductions and develop rapport with event industry to keep property top of mind.
'Manage all event logistics on the day of the event to ensure production runs smoothly - from load-in to load-out.
'Create event budgets, meet safety obligations, and ensure that contractual and liability standards are met.
'Work with operations, security team, NYC City agencies and all center team members. Create and review individual event timelines and comprehensive production schedule with team to insure flawless execution of all aspects of events.
'Coordinate permitting, venue management, operations, property logistics, insurance requirements and equipment needs.
'Manage all aspects of Seaport Holiday campaign with Marketing team, producing holiday shows and promotions.
'Ability to manage multiple events simultaneously.
'Work with Marketing Assistant to manage film crews and photographers for small to large scale location shoots and productions.
'Maintain Seaport event calendar and send updates to staff, and external teams.
'Assist with developing on-premise messaging, promotional signage, seasonal banners, property directories and creative directional signage. Responsible for placement, timeliness and accuracy.
'Share responsibility for managing seasonal Street Performer Program.
'Devise new programming and planning of festivals with Senior Marketing Manager.
Community Outreach and Communications
'Communicate Seaport programs to primary audiences and stakeholders - visitors, day workers and local residents.
'Create community interest in all events and manage invitations to community councils and individuals.
'Partner with outside resources, Public Relations and Tourism consultants to ensure awareness of events to all market segments.
'Develop and grow Seaport Marketplace database and devise regular outreach to members.
'Collaborate on cross promotional marketing tools with local non-profits, City institutions and off parcel businesses.
'Extend reach of Seaport to burgeoning new families and residence in the area, including local colleges and schools.
'Develop platforms to utilize social media networks and email templates to deliver Seaport messages.
'Build and expand retailer relationships to assist all tenants, Merchant Association and temp tenants.
'Maintain Seaport presence in Harbor related and lower Manhattan civic activities.
'Supervise content of social media websites, tenant newsletters, Seaport website and News E-blasts.
Sponsorship Activation
'Liaise with event planners, programmers, and GGP regional representatives to ascertain new business potential.
'Assist in creating comprehensive presentations and solidifying important relationships necessary to achieve repeat clients.
'Solicit and secure retailer participation where applicable and appropriate.
'Devise effective programs to enhance productivity and value added participation at signature events.
'Develop new programs to expand business with vessels, dockings and the maritime related activities.
'Conduct post-event evaluation (including analysis and producing reports for event stakeholders). Document all center events electronically to create tools for use in future solicitation of sponsors.
'Assist with generation of pitch books to sponsorship targets for seasonal, property wide sponsor opportunities.
'Develop sponsorship packages for signature events (i.e. Children's Day, Seaport Music Festival, Winter Holiday programs).
'Member of Manager on Duty rotation
'Other duties as assigned
Experience:
- Education - Bachelor's degree in Marketing or equivalent in related field.
- 2-5 years marketing, event production/ management or event marketing experience.
- Proven track record in establishing priorities, managing multiple projects, as well as performing under pressure and tight deadlines.
- Strong verbal and communication skills.
- Basic accounting and budgeting.
- Action-oriented. Strong problem solving capabilities.
- Decisive. Organized. Achievement motivated. Consensus builder.
- Clear communication and excellent organizational skills with ability to respond quickly to change
- Possess proficient knowledge in basic computer skills with experience in Microsoft Word, Excel, PowerPoint and Outlook.
- GGP training in license agreement programs and protocols.
- Ability to work in a highly organized manner as part of a team responsible for over 200 events a year.
- Experience with In Design and CAD preferred.
- Travel requirements: 25%-50% (Travel between centers required on a regular basis)
- Minimum 1 year supervisory experience
