GENERAL SUMMARY:
Under the general supervision of the Associate Registrar responsible for degree audit and graduation operations in the Office of the Registrar, assists in all functions of degree audit processing, including degree audit set up in Banner CAPP. This position represents OTR with external and internal customers under the management of the Associate Registrar. The position also includes responsibility for compliance with and education about FERPA and all other applicable laws and regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Facilitate communication and collaboration between all student-facing units (academic advising, SST, admissions, enrollment, financial aid, bursar).
- Cross trained across Registrar functions to provides back up to other office staff.
- Serve as back up to registrar team staff.
- Regularly review, develop and improve department policies and procedures.
- Deal with internal and external customers directly.
- Responsible for FERPA education and compliance throughout the organization.
- Cross trained across Registrar functions to provides back up to other office staff.
- Other related responsibilities as assigned.
Specific to Degree Audit function:
- Builds and maintains Banner CAPP (programs, courses, degree requirements) as well as maintenance of academic and data integrity in the student information system.
- Processes degree exceptions and makes changes to student online degree audit necessary to correct student audits with academic and data integrity using Banner CAPP.
- In absence of Senior Degree Audit Specialist may act as liaison for Office of the Registrar at NPP meetings
Collaborate with all operational teams on new university programs, and communicate in an effective and timely manner to internal and external customers.
- Works with faculty and staff to resolve student degree audit issues.
- Encodes university and degree requirements and provides day-to-day upkeep, processing and documentation of degree program changes.
- Works with faculty and staff to ensure accuracy of data requirements and content.
- Assists in the resolution of degree audit system problems.
Experience:
EDUCATION and/or EXPERIENCE:
- Bachelor's degree required with 2 to 4 years experience directly related to the duties and responsibilities specified.
- Spanish language proficiency or prior work with international student populations required.
- Successful experience in a systems and customer service environment.
- 1 to 2 years of experience in university registrar or record environment.
- Good problem solving and conflict resolution abilities.
- Excellent written and oral communication skills
- Confidence and skill with large databases and student records.
- Experience in a for-profit educational environment preferred.
- Banner CAPP experience preferred.
- Knowledge of curriculum and academic program structures in a university setting.
- Ability to work independently and as a member of a team.
- Ability to establish priorities.
- Experience working with diverse populations.
- Ability to perform routine tasks efficiently and accurately.
- Ability to maintain knowledge of current technological developments/trends in area of expertise.
- Microsoft Office skills preferred. Strong Excel Spreadsheet skills preferred
